TIME / LOCATION

Saturday August 9th at UBC Farm.

ADRESS: 3461 Ross Drive, Vancouver, UBC. We are on the events field to the immediate left on entry through the metal gate. The UBC Farmers Market is to the right (not us).

EARLY ENTRY enters an hour earlier at 12:30pm

BEER AND CIDER LISTS

Please email info@farmhousefest.com a list of your potential beer/cider by July 25th. A minimum of 2 ‘Farmhousey’ things along with 1 off-style beer if you wish. No core product. Seasonal, specialty, fresh as possible for any off style IPA/Lager things. If you can buy it at a BCL or LRS any day of the week we don’t really need it here.

The full list is curated and selectied for variety with things that meet our style guides (ask if you’re not sure). Those producing Barrel Aged, Mixed Fermented and/or Wild Naturally Fermented products get priority. Products with BC Fruit get priority over bucket goop.

You are welcome to bring anything in addition to the above for sharing with other vendors at the afterparty, just don’t put it on our invoice 🙂

Please send your adjusted invoices after the event with what was actually poured. I’ll gladly keep small amounts of leftovers, but if you have multiple bottles you can sell, please take them back.

SOCIAL - TICKETS - ATTENDEES

Please help promote on social media and e-mail newsletters, preferably with hints/photos as to what you’re bringing. Attendance will be approx 500

Each booth should have 1-2 people minimum for pouring etc. Every brewery/cider can have up to 3 staff total. If you need more tickets just to drink and party, please buy them from Eventbrite. As the event is full of Industry people and also all inclusive, there are no Industry discounts. Any extra Vendor staff can enter early if they’re helping you setup, but make sure you check in with their ticket(s) as applicable.

Booth staff do not get actual tickets, check in upon arrival at the entry tent.

SETUP & PARKING

FRIDAY we are there most of the day if you’d like to setup or drop off anything prior to 3pm. Leaving equipment is at your own risk. The field is locked overnight, however no dedicated security. There is limited cold storage.

SATURDAY EVENT arrive as early at 9am if you wish. Please be there by 11am at the latest as we start pouring at 1230pm sharp. Bring your beer and cider cold.

Limited parking is to the left down the farm road. Loading zone only for a few cars at the top of the field. NO PARKING OR DRIVING DIRECTLY ONTO THE FIELD WHATSOEVER. It is too busy and there are people everywhere. DO NOT MOVE ROPES, TABLES OR BARRIERS, DO NOT BLOCK FOOD TRUCKS

You must carry equipment onto the field from your parking spot or loading zone.

Street parking is 2hrs max and UBC will tow you. If full inside the farm, you’ll need to use a UBC lot.

Tent placement will be a mix of designated areas and first come first served. Check in on arrival.

WHAT WE HAVE vs WHAT YOU BRING

A table and chair are provided. Bring your own tent. If not we can rent you one at cost but need to know asap. We have lots of buckets. We have some pitchers, but bring extra. There is ice (2 large 25lb bags per booth), bring extra if you can along with a cooler(s). Cold storage is minimal, no guarantees. Dropping off a few kegs/cases on Friday will fit, but not for everyone.

INSURANCE

All vendors must carry their own insurance. The event has host liquor and liability insurance, along with SEP licensing. This does not cover your staff/equipment etc should someone be hurt or have equipment stolen. All servers must have SIR certificate to pour.

POURING

4 oz is the legal MAX allowed per person at a time. We have large 13oz glasses so people can properly enjoy things. Smaller pours are legally required at tasting events. You can give someone 2 small pours if they ask. A ‘splash’ is half a second pour time. A 4oz pour is generally 2 seconds. Foam is your friend. You don’t need to tilt glasses. Do not pour above the bottom of logo/text on the glass. People want to try as many things as possible. The event is all inclusive and we don’t want half the beer going into dump buckets. It’s a hefty LDB fine and risk of being shut down if you break the rules, so just don’t. We won’t warn you and neither will a liquor inspector. 

Please try to rinse glasses before pouring! You can ask the attendees to do it too. We’ll have plenty of water. If you can’t find it or run out, ask! Some of you have cool CO2 water rinse on tap, those are great!

AFTERPARTY

Staff and vendors only. 715/730pm-ish Right on the field at the center Weathered tent after attendees have left. Bring over your open bottles, crack a few cans, fill some pitchers or growlers from kegs if you have partials left, or bring over your kegs and we’ll try to arrange at least one or two brewery jockey boxes to empty them. Open some cellared bottles to share etc. 

We need to be done by 930pm and cleaned up and gone by 10pm. Please empty your cans/bottles and take any large garbage. Recycling on site needs to be sorted.

LEFTOVERS / EMPTIES / CLEANUP

Please take kegs when you leave. As mentioned above we’ll do our best to empty them at the afterparty if there are partials remaining. Any large amounts of packaged product you can take back is greatly appreciated.

We’re hoping to have a bottle drive or Regional Recycling again for bottle/can pick up. Sort things into boxes that fit. Corks, tabs, caps etc go in the garbage. Empty all containers before placing in bins.

Pack out what you pack in otherwise. Water and dump buckets can be poured onto the grass field or into the weeds and bushes. Do NOT pour over plants/flowers or roped off areas and sensitive trees.

SMOKING IS NOT ALLOWED ANYWHERE WITHIN THE FARM
